An AI chatbot answers from what it already knows. An AI agent can also look at your information and do the work in your systems. In HR, that is the difference between general advice and a finished task: a letter drafted, a payslip filed, a candidate screened.
Here is the simplest way we can put it: a chat is a brain. An agent is a brain with eyes and hands.
Key takeaways
- A chat gives you advice. An agent gets the job done.
- The simple test: if it only has a brain, it’s a chat. If it can also look at your information or do things for you, it’s an agent.
- In Sense HR, AMI (Agent Management Interface) is where you talk to our AI. It hands specialist work to ten AMI agents, including Counsel, Payslip Sorter and Quizzy.
- Every AMI agent only sees what you can see, and checks with you before it acts.
Is an AI agent just a chatbot with a new name?
No. A chat gives you advice. An agent gets the job done.
Everyone is talking about AI agents. But many people still can’t see how an agent is different from the chat tools they already use. That matters in HR, because the value is not in a clever answer. It’s in what AI HR software actually does with it.
The brain thinks. The eyes look at your information. The hands do the work. In this post we show what that means in Sense, using three AMI agents you can use today.
AI chatbot vs AI agent: the key differences
| A chat (AI chatbot) | An agent (AI agent) | |
|---|---|---|
| What it has | A brain | A brain, eyes and hands |
| What it knows | What it learned in training, plus whatever you paste in | Your staff records, policies, contracts and documents, plus the web |
| What you get | Advice and text | Finished work: drafts, tasks and filed documents |
| Who does the work | You do | The agent prepares it and you approve it |
| Knows your people | No | Yes, within your own access rights |
Same question, two very different answers
A manager asks: “Alice has been late six times this month. What should I do?”
Ask a chat. It answers from what it already knows. It doesn’t know Alice, her record or your rules. You get general advice, and then you do the rest yourself. (We looked at whether ChatGPT can automate HR back when chat tools first arrived. This is where they stop.)
Ask an AMI agent. Counsel, our HR advice agent, does much more:
- Reads Alice’s record (eyes)
- Reads your policies and her contract (eyes)
- Checks UK law and ACAS guidance (eyes)
- Weighs it all up and recommends what to do next (brain)
- Drafts a letter for you to approve (hands)
- Sends tasks to the right people (hands)
Counsel also tells you when a case needs an employment lawyer. Same question: one gives you advice, the other gets the job done.
The chat box is only the door
“But I’m typing into a chat box. Isn’t that a chat?”
It’s a fair question. In Sense you talk to AMI by typing, just like a chat. But the chat box is only the door. What matters is what is behind it.
Behind a chat there is only a brain. Behind an AMI agent there is a brain with eyes on your business and hands in your systems.
What’s inside every AMI agent?
Every AMI agent is built from the same six parts. Brain, eyes and hands do the work. A way in, a job and safety rules set it up.
| Part | What it means | In Sense |
|---|---|---|
| Way in | How the agent starts | You ask in AMI, you fill in a form, or something happens |
| Brain | Understands and decides what to do next | The AI inside AMI |
| Job | What the agent is for, and its rules | Each agent has its own job |
| Eyes | What it looks at | Your staff records, policies and documents, and the web |
| Hands | What it does | Letters, tasks and uploads, using Sense Automate |
| Safety | What keeps it safe | It only sees what you can see, and checks with you first |
The simple test: if it only has a brain, it’s a chat. If it can also look at your information or do things for you, it’s an agent.
The hands are where the time is saved. If you want to see what those automated steps look like on their own, read our HR workflow automation review for UK teams.
Three AMI agents at work
Counsel: HR advice that knows your business
Counsel answers workplace questions using UK government and ACAS guidance together with your own policies, contracts and HR data. It suggests next steps, drafts letters for you to approve, and tells you when a case needs an employment lawyer. It’s like an HR adviser who already knows your people and your handbook.
Payslip Sorter: any payslip, any layout
Every payroll system lays out its payslips differently. Before AI, someone had to write rules for each layout. Payslip Sorter reads payslips the way a person would. It finds the NI number wherever it is on the page, matches it to the right employee, and files each payslip in their record. It works the same way for P60s and P11Ds. It shows you the matches first, and nothing is uploaded until you say yes.
That check step matters. Most pay problems start with small payroll data errors, and a payslip filed in the wrong record is a data protection problem, not just a nuisance.
Quizzy: screening in the candidate’s own language
Quizzy talks to each applicant as soon as they apply. It asks the recruiter’s screening questions in the clearest way, in the candidate’s own language, and uses their CV to make the questions fit. It scores the answers against the vacancy and sends the best applicants back into your ATS pipeline for hiring managers to review. Change the questions and the same agent could run a performance review or an exit interview.
If you’re weighing up AI screening, our guide to AI first-round interviews for UK employers covers what to check first.
Counsel, Payslip Sorter and Quizzy are three of ten. Others include Clockwise for time and attendance, Snappy for expenses and Census for workforce analytics. You can meet all of our agents on the AMI page.
You stay in charge
Every AMI agent follows two simple rules.
- It only sees what you can see. An agent follows your access roles in Sense. If you can’t see a record, the agent can’t see it either.
- It checks with you before it acts. The agent prepares the work and shows it to you. Nothing is sent or uploaded until you say yes.
That’s the same principle behind all our automation: remove the work, not the control.
Your data is protected too. Sense is ISO 27001 certified and hosted in the UK, and we don’t use your HR data to train AI models. You can read more on our security page or in our security and data governance report.
See an AMI agent at work
A chat gives you advice. An agent gets the job done. The best way to see the difference is to watch an agent do a real HR task. This short demo shows AMI handling five of them.
Book a demo and we’ll show you Counsel, Payslip Sorter and Quizzy at work on your own HR questions. Or explore all our agents on the AMI page.
Frequently asked questions
An AI chatbot answers questions from what it already knows, so you get advice and then do the work yourself. An AI agent can also look at your information and take actions in your systems, such as drafting a letter, filing a document or sending a task. A simple way to remember it: a chat is a brain, an agent is a brain with eyes and hands.
Used on its own, a general chat tool works as a chat. It answers from its training and from whatever you paste in, and it can’t see your HR records or act in your HR system. The test is always the same: if a tool can look at your information and do things for you, it is acting as an agent.
AMI (Agent Management Interface) is the AI built into Sense HR. You ask it questions in plain English, and it can answer, carry out tasks in Sense and hand specialist work to ten AMI agents, such as Counsel for HR advice, Payslip Sorter for pay documents and Quizzy for candidate screening.
Not in Sense. An AMI agent prepares the work, such as a recommendation, a draft letter or a list of payslip matches, and shows it to you first. Nothing is sent or uploaded until you say yes. Counsel also tells you when a case needs an employment lawyer.
In Sense, an agent follows your access roles, so it only sees what you can see. Sense is ISO 27001 certified, your data is hosted in the UK, and Sense doesn’t use your HR data to train AI models.
AMI agents cover HR advice (Counsel), payslip distribution (Payslip Sorter), candidate screening (Quizzy), recruitment pipelines (ATS Expert), time and attendance (Clockwise), expenses (Snappy), workforce analytics (Census), reports (Report Assist), tasks (Tasker) and document distribution (DocSender).
