Sickness & absence

Absence Scheme Notification

AbsenceTime off

Installing this workflow tells Sense to check every new sickness record against the absence thresholds you've set. The moment an enrolled employee reaches or goes over one, their manager and admin get an email and an in-app task with the updated total and the action it calls for, so nothing waits for someone to notice.

How it works

Set your absence rules then let Sense track them

  1. To use the Absence Scheme Notification workflow, simply set the thresholds and scoring methods your business prefers to follow, and decide which teams or individuals this rule applies to.

  2. Then, every time a sickness is logged in your system, Sense will automatically check it against this workflow.

  3. If a threshold has been hit, then the relevant manager and admin will get a notification asking them to take action.

Common questions

What kicks this workflow off?

A new sickness record for someone covered by the absence scheme. As soon as it's saved, Sense recalculates their absence measure against your configured thresholds.

What happens once it fires?

The employee's manager and admin each get an email and a Sense task showing the updated points total and the action it calls for: for example, a review, a meeting, or the next step in your disciplinary process.

Who gets notified?

The manager and admin, every time a new sickness pushes someone at or over a threshold, not just the first time it happens.

Can we change the thresholds and scoring method?

Yes. You can configure the trigger type (System Default, Days, Instances, or Days & Instances), the rolling assessment period, the day and instance thresholds, who gets notified, and whether a Sense task is created alongside the email.
