Timesheet Accrual Hours

TimeTimesheetsHoliday

Installing this workflow tells Sense to convert an employee's submitted timesheet hours into holiday entitlement automatically, at the rate you set (typically 12.07%). If you turn on manager approval, the hours only convert once a manager signs off; without it, entitlement updates as soon as the timesheet is submitted.

How it works

Set your Timesheet Hours screen then let Sense convert hours into holiday

  1. To use the Timesheet Accrual Hours workflow, simply install it from the Workflow Hub, which adds a Timesheet Hours screen to the Employee Profile template with a date field and a 24-hour time field for logging hours worked, and if you want manager sign-off, add a Manager Authorisation field.

  2. Then, every time an employee submits a new timesheet, Sense will automatically calculate the accrued holiday at your chosen rate.

  3. If approval is switched on, then the employee's manager gets an email and task to review it, and the employee receives a confirmation email once it's approved or declined.

Common questions

What kicks this workflow off?

An employee submitting a new timesheet record from the Timesheets screen on their profile.

What happens once it fires?

Sense converts the hours logged into holiday entitlement at the rate you've set (12.07% by default) and adds it to the employee's balance. If you've switched on manager approval, that conversion only happens once the manager approves the record.

Who gets notified?

When approval is switched on, the employee's manager gets an email and task asking them to review the submitted hours, and the employee gets a confirmation email once it's approved or declined.

Can employees edit their timesheets after submitting?

No. Employees should only have permission to add a timesheet, not edit one, so a submitted record stays fixed whether it's pending, approved, or declined.
