{"id":1450,"date":"2026-09-02T11:29:07","date_gmt":"2026-09-02T11:29:07","guid":{"rendered":"https:\/\/sense.hr\/blog\/?p=1450"},"modified":"2026-09-02T11:30:48","modified_gmt":"2026-09-02T11:30:48","slug":"why-payroll-week-still-runs-on-chasing-people-down","status":"publish","type":"post","link":"https:\/\/sense.hr\/blog\/why-payroll-week-still-runs-on-chasing-people-down\/","title":{"rendered":"Why Payroll Week Still Runs on Chasing People Down"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">If you ask most HR managers what payroll week actually involves, you&#8217;ll probably get a few versions of the same story:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Several days spent chasing managers to approve overtime<\/li>\n\n\n\n<li>Constant reminders for site leads to submit final timesheets<\/li>\n\n\n\n<li>Figuring out if an absence was holiday or sickness<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">And once done, you still need to enter all this data into a spreadsheet or a system, and then send it to payroll before have a big lie down.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now, what I&#8217;ve just described isn&#8217;t actually HR work. But it isn&#8217;t payroll work, either! It&#8217;s just tedious data entry, performed under the pressure of a deadline, by people who aren&#8217;t experienced or even interested in doing it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It isn&#8217;t actually difficult to calculate pay for a stable workforce on fixed rates. But you lose a lot of time because of how much data is missing, unclear, or just plain wrong. <a href=\"https:\/\/www.linkedin.com\/feed\/update\/urn:li:activity:7497949872587935758\/\">And you spend that time picking up phones, cornering people in corridors, and making manual corrections to your data.<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The fix isn&#8217;t better chasing<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Most attempts to solve this focus on the chasing itself: earlier reminders, stricter deadlines, an escalation email to a manager&#8217;s manager, that kind of thing. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And some people actually get quite good at really optimising their chasing processes! But all this does is treats the symptoms of the problem. You see, if the correct data already existed before payroll week started, there would be nothing left to chase.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The real answer is payroll automation. Which might sound complex, but is actually very simple &#8211; and there are are a few ways to get there.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Start with payroll automation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">How you do this depends mostly on how much of your workforce works fixed hours versus variable ones. But the simplest solution by far, is to stop letting absence and overtime live outside the system in the first place. And by this, I mean that you should be getting holiday, sickness and overtime events <a href=\"https:\/\/sense.hr\/absence_sickness.html\" target=\"_blank\" rel=\"noopener noreferrer\">requested and approved<\/a> as they happen, not reconstructed afterwards. Because then, by the time payday rolls around, payroll preparation is pretty much done &#8211; the hours are already sitting on a report, instead of inside somebody&#8217;s memory.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now, doing this is easy enough for office-based workers with fixed schedules. But fixed-schedule office workers account for less than 20% of the workforce&#8230; what about the 80% still left!?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you hire hourly or shift-based staff, you must solve this by adding a clocking in and out system. This means that the hours can arrive without people needing to fill in a manual timesheet at all. It means that you flag late starts and missed breaks as they happen, rather than finding them during the payroll week itself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And if you&#8217;re wondering what to do about field-based workers or staff who deploy across multiple sites, there are options here too. Checking hours automatically against <a href=\"https:\/\/sense.hr\/sense-presence.html\" target=\"_blank\" rel=\"noopener noreferrer\">verified location<\/a> lets you automatically attribute time to the right site or job, and nobody has to reconstruct after the fact which rate applied to which shift.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Capturing the hours is only half the job<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If you already have a clocking in and out system, and a way to verify this against your workers&#8217; actual location, then congratulations&#8230; you&#8217;re halfway there!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But none of this is worth much if you&#8217;re still working out the numbers by hand once the hours are in. Think about everything you have to contend with! <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Rounding<\/li>\n\n\n\n<li>Grace periods<\/li>\n\n\n\n<li>Paid VS unpaid breaks<\/li>\n\n\n\n<li>The point at which overtime kicks in<\/li>\n\n\n\n<li>Whether <a href=\"https:\/\/sense.hr\/flexi-time.html\" target=\"_blank\" rel=\"noopener noreferrer\">time off in lieu<\/a> applies instead of pay<\/li>\n\n\n\n<li>Premium rates for nights or weekends or a particular site&#8230; <\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">All of those details are policy decisions. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So the answer here is to set the rule once, and let it apply the same way to everybody, every period, without exception. And you can do that with the right HR automations applied to your HR system!<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This matters for a reason beyond convenience. Because when you have a rule written down and consistently applied, a query about someone&#8217;s pay stops being a negotiation, and becomes a lookup. You can show the employee exactly which rule produced their number, rather than trying to reconstruct the reasoning after the fact.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1365\" height=\"1536\" src=\"https:\/\/sense.hr\/blog\/wp-content\/uploads\/2026\/09\/Payroll-Gary-Article.jpeg\" alt=\"Payroll Process\" class=\"wp-image-1452\"\/><figcaption class=\"wp-element-caption\">Three Ways to Automate Payroll<\/figcaption><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">What actually gets recovered<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If you&#8217;ve covered both of the above points, then you&#8217;ve done the hardest part. Once the hours and the rules are correct, getting them to payroll is easy: a clean feed to <a href=\"https:\/\/sense.hr\/sage-50-payroll.html\" rel=\"noopener noreferrer\" target=\"_blank\">Sage<\/a>, <a href=\"https:\/\/sense.hr\/xero.html\" rel=\"noopener noreferrer\" target=\"_blank\">Xero<\/a>, BrightPay or <a href=\"https:\/\/sense.hr\/paycaptain.html\" rel=\"noopener noreferrer\" target=\"_blank\">PayCaptain<\/a>, or an export in whatever format an outsourced bureau needs. That step is largely solved technology at this point, which is exactly why it&#8217;s frustrating that the two days upstream of it still get lost so routinely.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I&#8217;m not exaggerating when I say two days, either. I&#8217;ve actually talked to HR managers who have literally sat and timed how long this chasing nightmare takes, and two days is often an under representation! But even at two days&#8230; two days a month is twenty four days a year, or in other words <em>three working weeks<\/em>, spent almost entirely on sending reminders to people who already know they owe someone a timesheet. That is a big operational cost.
